  • No clear audience or purpose. Sending to everyone because it's easier than thinking about who actually needs to know is a common shortcut — but it's also why employees tune out. Without a defined audience and a clear call to action, even well-written messages lose their impact.

  • Poor timing. Dropping an all-staff message into inboxes during peak working hours almost guarantees it gets lost in the noise. Timing is a strategic decision, not an afterthought.

  • Low relevance, repeated too often. If employees have opened messages before and found nothing useful, they'll stop opening them altogether. Trust in your internal communications erodes quickly and takes time to rebuild.

  • Hard to scan, easy to ignore. Walls of text with no visual hierarchy, no bold key points, and no clear structure make reading feel like work. First impressions matter — if a message looks dense and uninviting at a glance, most employees won't even start reading it. In a busy workday, that split-second judgment is enough to send your message straight to the bottom of the pile.

  • The wrong channel altogether. Email made sense when it was the primary way people worked. But in most organisations today, employees live in collaboration tools — and that's where their attention actually is.

A Smarter Approach to Employee Communications

The good news is that these are all solvable problems — but solving them requires a shift in how organisations think about internal communications.
