Q : What are the different administrative roles within NewCommunicator?
A : There are three key roles involved in managing and using NewCommunicator: M365 Global Administrator, App Administrator, and Sender.
Q : What is the role of an M365 Global Administrator?
A : The M365 Global Administrator grants initial app permissions for NewCommunicator in Microsoft 365, and appoints App Administrators. For Pro Plan users, the M365 Global Administrator uploads the Sender App package to the Teams admin center and grants admin consent.
Q : What is the role of an App Administrator?
A : The App Administrator manages the NewCommunicator application. Responsibilities include appointing, editing, and deleting Senders, as well as configuring sender groups (available with the Group Plan and above). App Administrators can also appoint themselves as Senders. For Pro Plan users, the App Administrator is responsible for generating the ZIP file package for the Sender Apps and registering the Sender App in NewCommunicator. Multiple App Administrators can be assigned.
Q : What is the role of a Sender?
A : Creates and sends messages to recipients. The maximum number of Senders depends on the subscription.
Q : How are App Administrators appointed?
A : Appointed by an M365 Global Administrator via the Azure portal by adding users to the “Administrator” role for NewCommunicator.
Q : How are Senders assigned?
A : Senders are assigned by an App Administrator through the NewCommunicator admin site.
Q : What Microsoft Graph permissions does NewCommunicator require and what are their purposes?
A : NewCommunicator requires specific Microsoft Graph permissions to function correctly: ・User.ReadBasic.All (Delegated permission): Used to search for users within your tenant when registering Senders. ・GroupMember.Read.All (Delegated permission): Used to search for Teams teams and Azure security groups that can be used as message destinations. ・GroupMember.Read.All (Application permission): Used to enumerate the users belonging to the specified recipient groups for message distribution. ・User.Read.All (Application permission): Used to display user names (User Principal Names - UPN) when generating delivery reports. ・TeamsAppInstallation.ReadWriteSelfForUser.All (Application permission): Used to automatically install the NewCommunicator application for target recipients upon the first message distribution.

Q : How does NewCommunicator ensure messages are seen by recipients?
A : Messages are delivered directly to each recipient’s Teams chat with push notifications and pop-up alerts. A dedicated chat is created for important communications, centralizing information in one place.
Q : Can I send messages to specific groups of people (Targeted Messaging)?
A : Yes. Recipients can be defined by Teams teams, Azure AD security groups, or CSV file upload. This allows messages to reach only the intended audience.
Q : Can I change the App name and Icon?
A : Yes. The app name and icon can be customized from the Teams admin center to match organizational branding.
Q : What types of templates are available for creating messages?
A :Two types: ・Standard template– Straightforward message creation with predefined fields. ・Visual Rich template – Flexible design with advanced formatting for more visually engaging messages.
Q : Can I embed videos directly into my messages?
A : Yes. The Visual Rich template supports embedding videos from SharePoint, OneDrive, or Microsoft Stream, viewable directly in the message.
Q : Can I include multiple images in a single message?
A : Yes. The Visual Rich template supports multiple images (max 2MB each, recommended 1000×1000 px, PNG or JPEG).
Q : Can I attach documents to messages?
A : Direct attachment of documents is not supported. However, links to documents can be easily embedded within messages, providing recipients with a similar experience to email attachments.

Q : How do I create and manage messages?
A : Messages are created using the available templates (Standard or Visual Rich) and can be saved as drafts for future use. From your drafts, you have the option to send a preview to yourself or any other registered senders before sending the actual message to recipients.
Q : Is it possible to schedule messages for future delivery?
A : Yes. NewCommunicator allows you to schedule message delivery up to two weeks in advance, in 15-minute time slots.
Q : What are the recipient limits for message distribution?
A : Messages can be sent to up to 150,000 users when using Teams teams or security groups. For CSV uploads, the limit is 1,000 users per file.
Q : How fast are messages delivered with NewCommunicator?
A : Messages are delivered at a rate of approximately 700–1,000 per minute.

Q : How do recipients receive messages?
A : Recipients receive messages via push notifications and pop-up alerts delivered directly to their dedicated NewCommunicator chat within Teams. All messages are stored within this direct chat, allowing recipients to easily scroll back and review previous communications.
Q : Do recipients need to manually install the app?
A : No. The NewCommunicator app is automatically installed for all recipients upon the initial message distribution. Only senders are required to install the app manually.
Q : Can users block NewCommunicator messages?
A : Yes. As NewCommunicator functions as a bot within Microsoft Teams, recipients can block it through their personal Teams settings. These settings cannot be overridden. However, activity reports can indicate which recipients have blocked the app.

Q : What kind of statistics and insights are available?
A : Overall open rates and click-through rates for distributed messages can be measured.
Q : Can I track individual user activity for messages?
A : Yes. A detailed activity report in CSV format can be downloaded, showing whether each recipient received a message, the time it was opened, links clicked, the time of each click, and whether the app has been blocked.
Q: How many links can I track per message, and for how long is the activity tracked?
A : Up to five links can be tracked per message. Only the first click on each link is recorded. Activity data, including opens and clicks, is recorded for seven days after message distribution. Actions taken on or after the eighth day are not tracked.
Q: Can I edit or delete messages after they've been sent?
A: Messages can be edited or deleted once within seven days of delivery. Recipients do not receive a new notification when a message is modified or deleted. Link tracking for the message is no longer available after it has been modified or deleted.

A : The initial setup typically takes less than 30 minutes. The M365 Global Administrator approves access permissions for the NewCommunicator app and the app is automatically installed for recipients at the first message distribution. A : NewCommunicator is available for purchase and subscription through the Microsoft AppSource page.
Q : What plans are available?
A : ・Starter Plan – $360 USD/month (or $3,600 USD/year, 17% discount). Includes 1 sender license. ・Group Plan – $1,200 USD/month (or $12,000 USD/year, 17% discount). Includes 10 sender licenses and sender group management. ・Pro Plan – $2,400 USD/month (or $24,000 USD/year, 17% discount). Includes all Group Plan features, 6 Sender Apps and 15 sender licenses in total.
Q : Is a free trial available?
A : Yes. A 30-day free trial is available for the Group Plan and Pro Plan. Payment details are required at the start of the trial; however, if the trial is canceled before the 30-day period ends, no charges will apply.
Q : Can I add more sender licenses if needed?
A : Yes. $50 USD/month per additional license or contact us for a bundle discount of $200 USD/month per additional 5 licenses.

Q : Is support included with the NewCommunicator plans?
A : Yes. Standard support is included with all NewCommunicator plans at no additional cost. Additional costs may apply for requests outside the standard scope.
Q : What are the support hours and availability?
A : Support is available on Japanese business days from 10:00 to 18:00 (Japan Standard Time, UTC+9). 24/7 support is not currently provided, but the team is committed to meeting the service level agreement (SLA).
Q : Is support provided directly by NewCommunicator, or through resellers?
A : The Communitio Customer Success team typically provides direct support. For organizations using a Cloud Solution Provider (CSP) for Microsoft 365 subscriptions, the CSP may act as a reseller and provide support.

Q : What is the Extended Sending Functionality (Sender Apps)?
A : The Pro Plan is an upgraded plan that includes all the features of the Group Plan, plus extended distribution capabilities. With the Pro Plan, you can create multiple Sender Apps, each linked to its own dedicated chat in Microsoft Teams. This enables you to organize communications by content type—for example, separate chats for Corporate Comms, HR updates, or IT alerts—helping recipients easily find relevant information and reducing confusion.
Q : Who is involved in setting up a Sender App?
A : Setting up a Sender App requires both a NewCommunicator App Administrator and an M365 Global Administrator. The App Administrator generates the Sender App package, and the M365 Global Administrator uploads it to the Teams admin center. The App Administrator then registers the app and assigns it to the appropriate sender groups.
Q : Can the Sender App's name and icon be customized?
A : Yes. When creating the Sender App package, you can customize the app name displayed in Teams and optionally upload an icon image.
Q : What are the steps to set up a Sender App?
