We are pleased to announce that T-Gaia Corporation ("T-Gaia"), Japan's largest mobile phone retail agency, has adopted NewCommunicator as its company-wide internal communication platform, reaching approximately 4,300 employees across the organization.

By adopting NewCommunicator, T-Gaia moved beyond a "check when you have time" model of internal communication and built a system that delivers critical information directly to employees through Microsoft Teams — a tool already embedded in their daily work, regardless of whether they work in an office or on the sales floor.

T-Gaia operates a consumer business that runs approximately 1,500 mobile phone shops nationwide, alongside a corporate business that provides ICT solutions to businesses. With around 4,300 employees, the company is one of the largest in its industry.


The Decision to Implement NewCommunicator

Prior to implementing NewCommunicator, T-Gaia relied primarily on an internal portal and an in-house newsletter app to share company-wide information.

This approach came with a structural challenge: it assumed employees would proactively visit a site to check for updates. In practice, staff working in stores — busy with frontline duties — checked the portal far less often than office-based employees, causing information to reach some parts of the organization more reliably than others.

This gap was particularly pressing for the roughly 2,600 employees working across T-Gaia's mobile phone shops nationwide, where ensuring that important information had actually reached staff had become an urgent priority. At the same time, Microsoft Teams chat was already deeply integrated into daily operations — a tool employees "definitely check for work." This led T-Gaia to look for a way to deliver company communications directly through Teams itself.

Drawn to NewCommunicator's ability to support both broadcast and targeted distribution within Teams, T-Gaia evaluated the product and ultimately decided to move forward with adoption.


A Communication Channel Employees Actually Check

 "Until now, our company-wide communications assumed that employees would proactively visit a site to check for information. Because of this, store staff who are busy with frontline work checked the site infrequently, and viewership skewed toward employees working in offices. We were looking for a way to draw employees in voluntarily, without forcing them to check. After much discussion, we concluded that we needed a system that would ensure information was actually seen — not just made available — by store staff and office staff alike. 

A major appeal of NewCommunicator is that it delivers messages directly to each employee's personal Teams chat, complete with push notifications, through a tool they already use daily for work. We named the dedicated Teams chat 'TG INFO' and use it mainly to distribute messages from leadership as well as notifications about newsletter updates. Moving this communication onto Teams has allowed staff to check information on their smartphones during short breaks in their day, and we've seen viewership increase significantly as a result. 

The analytics feature, which lets us track open rates and link click-through rates after each distribution, has also become an essential metric for continuously improving the quality of our communications. Seeing the actual viewing data internally — realizing just how many people are actually reading what leadership sends out — has helped shift awareness around internal communication across the company. 

For newsletter notifications, we focus on making them feel inviting rather than like another routine alert. We bring in our official characters, 'T-nyan' and 'Gai-nya,' and our design team maintains design consistency while still catching employees' eye. NewCommunicator's flexibility in article design gives us room to put thought into each piece, which fits well with our company culture. Being able to announce our newsletter — updated every two weeks — with minimal effort is also a real benefit, and readership has grown as a result."
